Position Overview:
The Assistant Agency Manager at The Vacationeer supports the Agency Manager in overseeing operations, ensuring smooth functioning of agent workflows, planning key agency events, and managing critical processes to deliver exceptional service to clients and agents. This role requires strong organizational, communication, and problem-solving skills, as well as a proactive approach to improving team efficiency and client satisfaction.
Key Responsibilities:
1. Event Planning and Management:
- Collaborate with the Agency Manager to plan and execute agency events, including VacationeerCON and agency Familiarization (FAM) trips.
- Manage event logistics, including travel arrangements, venue coordination, and scheduling.
- Oversee post-event evaluations to ensure continued improvement.
2. Agent Opportunity Distributions:
- Oversee the distribution of agent opportunities, including Agent Education Program (AEP) assignments and individual FAM trips.
- Ensure fair and strategic allocation based on agent performance and expertise.
- Track and report on distributions to ensure optimal alignment with agency goals.
3. Guest Relations:
- Supervise travel arrangements and follow-up processes for guests reassigned due to complaints or other concerns.
- Liaise between agents and guests to resolve issues and ensure client satisfaction.
- Maintain detailed records of reassigned cases and outcomes for future analysis.
4. Team Support and Communication:
- Act as a point of contact for agents requiring assistance or guidance with opportunity management or guest issues.
- Communicate updates and operational changes effectively across the team.
- Support the Agency Manager in implementing new policies and workflows.
5. Performance and Reporting:
- Monitor agent performance in assigned areas and provide feedback or recommendations for improvements.
- Prepare reports for the Agency Manager summarizing agent activities, event outcomes, and guest relations.
6. Operational Oversight:
- Assist in managing day-to-day agency operations, including scheduling, project timelines, and administrative tasks.
- Identify and address operational bottlenecks to improve efficiency.
7. Group Cruise Support
- Assist the Group Cruise Team in the preparation for and execution of group cruises where needed.
- Attend Group cruises where needed and provide support for Group Cruise Team while onboard.
Qualifications:
- Proven experience in travel agency operations or a related field, with a strong understanding of travel planning and event coordination.
- Excellent organizational and time management skills.
- Strong interpersonal and communication abilities to manage relationships with agents, guests, and stakeholders.
- Problem-solving mindset with attention to detail and the ability to handle multiple priorities simultaneously.
- Proficiency in relevant software tools for travel management and reporting.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications:
- Familiarity with The Vacationeer’s systems, policies, and agent network.
- Previous experience managing agent assignments or planning large-scale events.

Salary Range:
$45,000 – $60,000
